Alerts/Notifications
Included in Pilgrim’s workflow engine is a highly tailorable notification engine that allows you to determine when and how often to notify a specific user along with a tailored notification message. Notifications include the appropriate URLs that direct you immediately to the screen that requires your attention.The Pilgrim application can interface with any SMTP based e-mail system and allows you to create to create HTML emails that can be accessed either internally, or externally from outside the organization network. HTML pages for listing of offline documents allow users to easily search for documents by Document Number, Document Title, Effective Date, Expiry Date, etc. Hyperlinks on the HTML page eliminate the folder navigation process and the user can directly launch the document in the appropriate application.
Escalations
Escalation policies may be applied to tasks to trigger an event if a user does not perform their task assignment or provide an approval response in a designated time period. This rule-driven feature is designed to keep the process moving through the phases. Each escalation policy is defined by an "event" that will occur once the time period has lapsed, such as routing the approval to another actor, or notifying a coordinator or manager. Approval, Notification and Escalation Groups contain a set of users who can approve/notify/escalate a record.Queries
Built into Pilgrim’s system is a very powerful Query by Example ad-hoc querying engine. This powerful data search and extraction tool allows you to develop simple, to even the most complex, queries using any fields from the specific process, combined with a complex set of expressions. Once the appropriate query is developed, you can determine which of the data elements from the process should be displayed along with the security restrictions, or define if the query is public or private. If a query is considered private, the system allows you to define the level of privacy required.
Search
Pilgrim provides a very robust search mechanism that aids end users in accessing required records quickly:
1. Full Text Search -- This is just a like a ‘Google’ type keyword-based search wherein the system will search for that specified keyword in not only the metadata of the record, but also within any ‘searchable’ attachments that may have been provided for the record.
2. Multi Column Parameter Search – This option allows the user to define search parameters within a record. For example: Search for all records where the record number starts with REC as the prefix, or Search for all records where the record type is ‘Audit’ ‘AND’ the Auditor is John Doe.
Thresholds
Threshold policies can be easily applied for tolerance levels based on both Count and Volume within each specific Failure Mode and amount of time. Count Tolerance is based on the number of events created in the system based on the Failure Mode. Volume Tolerance is based on the number of defective parts or quantity affected for each Lot. If a Count or Tolerance has been met, the Status of the Failure is changed to “suspect” and the system notifies affected parties that further action needs to be taken on this event.
Triggers/Activations
Policies can be configured within SmartSolve for automatic triggers and activation based on defined company-specific workflows, events or types of changes within the system. Auto-routing triggers can instantly notify assigned owners of actions to implement. For severe types of quality events, or based on the types of changes needed, the system can be configured to automatically trigger and activate further required actions such as additional reviews or tasks. For less severe types of quality events, such as product inquires or general quality events, policies can be configured to set records to automatically close. Triggers can automatically activate a workflow to initiate or start, such as instances when events come from other integrated systems.
